Whether the documents are for internal use only or circulating in the outside world,

everything you and your employees write contributes to (or detracts from, as the case may be) your organization’s image.

Then there’s the matter of effectiveness: a poorly written employee handbook will serve only to confuse; a sales brochure lamely designed and written in moribund prose will surely fail to fulfill its purpose; a business letter or a press release fashioned without concern for basic rules of grammar may indeed draw attention to itself — the wrong kind of attention.

So the bank executive who wrote the following for a local publication unwittingly embarrassed himself and his bank:

“I believe credit will free up and we’re already seeing that. The market may not be recognizing that…We want to make every loan we can make, but not a single loan that cannot be repaid. We really do not want to extend credit to individuals or businesses or investments that do not show a clear history in the ability to repay those loans…you want to see a three year track record, beyond three years even better….”

His awkward prose and his shortcomings in grammar and usage were accented by placement alongside articles by three executives of other banks. Their submissions were crisp, to the point and — unlike the above excerpt — not suffering from “pronoun distress.”
